The AMI-Philippines (AMI-Phils.) BAP System is dedicated to maintain and protect the privacy of its
users' information and ensuring that the personal information under its supervision is protected. This
policy defines the data that AMI-Philippines collects on its ongoing, previous, and future students, and
how to use, manage, protect, and dispose when it is no longer required. The Data Privacy Act of 2012
(DPA), also known as Philippine Republic Act No. 10173, and its Implementing Rules and Regulations
(DPA-IRR), are in conformity with this information. It explains the data protection procedures used by
AMI-Philippines to secure the personal data of the people who are engage and to notify them of their
rights.
This privacy procedure is subject to change at any moment without prior notification. However, any
changes will be communicated to you through email or an announcement on the AMI-Philippines website.
Privacy Notice
Data Collected
During the online application, your personal information is collected and gathered throughout the term of
a student's enrollment at the school, AMI Philippines gathers, maintains, and utilizes personal data from
the currently, previously, and future students.
- Individual information and educational records, such as school projects, that are required during
registration or class are gathered through Gmail, Google Forms, learning management systems,
and online learning tools.

Permanent student academic records, which include transcripts and other histories of the
student's academic performance.

Personal information is required during registration, as well as chats or shared screens and non-
verbal reactions captured during video orientation, which may be recorded. These recordings are
permitted for educational, video recordings of classrooms, new student orientations, open online
forums, class reports, and video conferences.
Online Prerogative
Below are the things needed for the following purposes:

AMI-Philippines or AMI International allow students to comment on the videos and pictures
posted on the Recital Wall, but AMI Philippines or AMI International has the right to delete
unnecessary comments or words with proper notice to the owner.

AMI Philippines will temporarily suspend the account if there are any unnecessary video or
picture posts on the Recital Wall or if student personal information is distorted or falsification of
information is evident with proper notice to the owner.

Usage Data
Below are the purposes for which personal information is used:

Processing of enrollment and admissions applications.

Checking the legitimacy of student records as well as other documents.

Assisting students' education and verifying their course of study in accordance with curriculum
standards and other activities that are essential to their development.

Marketing and promotion of AMI Philippines, its staff, students, and other on-campus and off-
campus educational and extra-curricular student and/or school programs.

Supports simultaneous learning through video conferencing utilizing programs like Zoom, Google
Meet, or MS Teams so that even when professors and students are in separate areas, they may
communicate face-to-face.

Preparing receipts, contribution certificates, and some other documents and certificates that need
to be notarized for ministry partners.
Information Sharing
Personal information under the supervision of AMI Philippines shall only be disclosed to those individuals
who are authorized and given permission to receive it. Furthermore, we will only disclose your personal
information to third parties (other than your parents or guardians for minors) with your permission or when
it is needed or allowable by our policies and relevant laws, such as with:

Authorities, consultants, or services specialists who work for us and assist us in managing our
school's operations, supporting your learning, tracking and reporting on your progress, and
evaluating how well AMI Philippines is doing.
- The Philippine Accrediting Association of Schools, Colleges, and Universities, and the AMI
College Seminary in Korea are service organizations that grant accreditation to educational
programs that adhere to industry-accepted norms.

AMI Philippines decides if it is necessary or relevant to hand over your personal information to third
parties within or outside the Philippines, subject to confidentiality agreements and comparable levels of
data security, for the purposes of information storage, encoding, or to provide any service or product on
our best interests to you, or to develop an academic correlation program.
Security
We keep putting organizational, technical, and physical data security measures in place to protect your
personal information.

Only authorized staffs have access to your personal information, the exchange sharing is
protected and facilitated using state-of-the-art online platforms and applications, on premise
online storage and shared servers, email and paper files.

In the event that external parties need access to your personal information, we'll need to enter

Retention Information
AMI Philippines only retains your paper and electronic records for as long as is required.

We retain academic application forms, scholastic records, non-academic records, non-AMI
Philippines contacts, and other related materials.

Student’s coursework are maintained for five years or store online storage as exemplars.

Student disciplinary records will be maintained for ten years after graduation.
We take reasonable steps to securely delete your personal data when it is no longer required. Electronic
data is wiped, Secure Drive Erasure is used to make it unrecoverable and unreproducible, and paper files
are securely destroyed.
Your Rights
You have the right to know, to object, to process, to access and correct your personal information, such
as any of this kind of data collected by third parties with whom AMI has an information sharing
agreement, and to cancel or revoke that information. Furthermore, students have the right to provide
affidavits in the event that their accounts are suspended or their comments are removed.
